ADMINISTRATIVE OFFICE MANAGER POSITION IS AVAILABLE

 

Metcalf Archaeological Consultants, Inc.’s (MAC) is an employee-owned full-service cultural resource management firm that, over the past 30 years, has built a reputation as a highly professional and competitive consulting firm by working closely with clients and local, tribal, state, and federal agencies to ensure timely compliance with cultural resource and environmental regulations.

 

MAC is currently looking for an Administrative Office Manager for our Regional Office in Bismarck, North Dakota.  The position is salaried and full-time with work almost exclusively in the office.  Qualified applicants must have at least 2 years of prior experience in office management

 

Salaries are commensurate with educational level and work experience.  This position is also eligible for our full benefits package, including health insurance, flexible spending account, and 401(k) plans.

 

Tasks

 

Office Administration

 

·         Answer incoming phone calls

·         Ensure that all client, agency, and vendor inquiries are directed to the correct person

·         Create, organize, and maintain new jobs folders; this includes filing various project and administrative documents

·         Attend to all incoming and outgoing mail

·         Complete site forms as necessary to assist project staff with work flow

·         Maintain all office equipment and supplies; this includes tracking and purchasing equipment and supplies

·         Maintain all field equipment and supplies; this includes tracking vehicles and scheduling necessary repairs for vehicles and equipment

·         Assist with maintaining facilities; this includes contacting the respective property management company for any facility-related issues

·         Responsible for maintaining office calendars and scheduling the use of the conference room and/or general office facilities

·         Provide prompt and courteous response to client and agency inquiries

·         Act as Manager on Duty as needed

·         Perform other tasks as assigned by the Regional Manager

 

Accounting Administration

 

·         Receive incoming mail: open, stamp with date rec’d, and route to appropriate recipients

·         Compile and organize project information (e.g., mileage logs, receipts, etc. for invoicing purposes)

·         Manage and administer petty cash

 

Work Context

 

·         Ability to work indoors full time except for company errands around town

·         Maintain a work schedule compatible with MAC core business hours

 

Knowledge & Skills

 

·         Working knowledge of administrative and clerical procedures,

·         Demonstrated understanding of systems such as word processing, managing files and records, and other office procedures and terminology

·         Verifiable skills in Microsoft Word, Excel, and Outlook

·         Ability to communicate with others to convey information effectively

·         Observes, receives, and otherwise obtains information from all relevant sources

·         Ability to relate well with clients and agencies, and ensure that their needs are understood and communicated
